Marking Tasks Complete

There are two paths to marking a task complete in BuildChart, depending on whether the project uses the acknowledgement workflow. Both paths update the Gantt chart in real time and recalculate parent task progress automatically.

Standard Completion

The simplest way to mark a task done is to change its status directly. Open the task and set the Status dropdown to "Complete," or drag the % Done slider all the way to 100%. Either action marks the task as finished immediately. The Gantt bar fills completely with the progress color and the status badge turns green.

You can also change the status from the task list without opening the full task detail — click the status badge in the row and select Complete from the dropdown.

Completion with Acknowledgement

When a project has the acknowledgement workflow enabled, subcontractors cannot mark tasks complete on their own. Instead, the process follows a review cycle:

  1. Subcontractor clicks "Mark Complete." The task status changes to Pending Review rather than Complete. This signals the owner that the work is ready for inspection.
  2. Owner reviews the task. The owner sees a notification that the task is awaiting review. They can visit the task detail to inspect the work description, any attached photos, and notes.
  3. Owner approves or rejects. If the work meets expectations, the owner clicks Approve and the task moves to Complete. If corrections are needed, the owner clicksReject with an optional reason, and the task returns to In Progress for the subcontractor to address.

This workflow ensures that no task is finalized without the builder confirming the work is done to standard. It is especially useful for milestone tasks like framing inspections, rough-in sign-offs, and final walkthroughs.

Completion Photos

When marking a task complete, you may be prompted to attach a completion photo. This is optional but recommended — photos create a visual record of finished work that the project owner and customers can review. See the Completion Photos article for details.

Parent Task Auto-Calculation

Parent tasks do not have their own independent completion status. Instead, a parent's progress is calculated automatically from its children. When all child tasks are marked Complete, the parent task becomes Complete too. If any child is still in progress or not started, the parent reflects the aggregate percentage. This means you never need to manually update a parent — just complete the individual subtasks and the rollup happens on its own.
