Inviting a Subcontractor

Subcontractors are the people doing the work on your project — electricians, plumbers, framers, and everyone in between. When you invite a subcontractor to your BuildChart project, they get access to a filtered view of the Gantt chart showing only the tasks assigned to them, plus the ability to update their own task status.

How to Send an Invite

  1. Open your project from the dashboard.
  2. Click the team icon in the toolbar, or go to project settings.
  3. Click "Invite Member."
  4. Enter the subcontractor's email address.
  5. Select the role: Subcontractor.
  6. Click Send Invite.

The subcontractor receives an email with a unique invite link. This link expires after 7 days. If it expires before they accept, you can resend the invitation from the team settings panel.

What Happens When They Accept

When the subcontractor clicks the invite link, one of two things happens:

  • New user — They are taken to the signup page with their role pre-set. After creating an account, they are automatically added to your project.
  • Existing user — They are prompted to log in, then automatically joined to the project.

What Subcontractors See

Once a subcontractor accepts and opens your project, they see:

  • A filtered Gantt chart showing only the tasks assigned to them.
  • A toggle to switch between their filtered view and the full project Gantt, so they can see how their work fits into the overall schedule.
  • The ability to mark their assigned tasks as Complete.If the task has acknowledgement enabled, the status changes to "Pending Review" instead, and the owner is notified.
  • Notifications for new task assignments, status changes, and approval decisions.

💡 Tip

Assign tasks to the subcontractor before inviting them so they see their work immediately after accepting. This avoids the confusion of an empty Gantt chart on first login.

📝 Note

Subcontractors cannot see budget data, other contractors' tasks (by default), or project-level settings. Their view is intentionally scoped to keep your financial and scheduling details private.
