Inviting Team Members

BuildChart supports real-time collaboration with your entire project team. You can invite subcontractors to track their assigned work and customers to view project progress β€” all from a single shared project. Each person you invite gets a specific role that controls what they can see and do.

Three Roles

Every project member has one of three roles:

  • Owner β€” Full control over the project. Can create and edit tasks, manage dependencies, invite and remove members, change project settings, and archive the project. The person who creates the project is automatically the owner.
  • Subcontractor β€” Can view the Gantt chart filtered to their assigned tasks, update task status, mark tasks complete, and submit work for review. Subcontractors have a toggle to view the full project Gantt if permitted.
  • Customer β€” Read-only access through the customer portal. Customers can see overall project progress, milestones, and phase timelines, but cannot edit any tasks or settings.

How to Send an Invite

  1. Open project settings or the team panel from within your project. You can find the team section in the project settings page.
  2. Click "Invite Member." This opens the invite form.
  3. Enter their email address. This is the email they will use to sign up or log in to BuildChart.
  4. Choose a role β€” select either Subcontractor or Customer from the dropdown. (You cannot invite additional owners through the invite flow.)
  5. Click Send Invite. BuildChart sends a branded email with a unique invite link.

What Happens After You Invite Someone

When you send an invite, the recipient receives an email containing a unique token-based link. Here is the flow:

  • The invite link is valid for 7 days from the time it is sent. After that, it expires and you will need to resend.
  • Clicking the link takes the recipient to the signup page if they are new to BuildChart, or to the login page if they already have an account.
  • After signing up or logging in, the invite is automatically accepted and the person appears in your project’s team list.
  • You will receive a notification when someone accepts your invite.

What Each Role Sees

Subcontractors land on a filtered version of the Gantt chart that shows only the tasks assigned to them. This keeps their view focused on their scope of work. They can toggle to see the full project Gantt for context, such as understanding how their work fits into the overall schedule. Subcontractors can update task status, mark tasks complete, and submit completed work for owner review.

Customers access the project through a dedicated customer portal. The portal shows a circular progress indicator, a milestone timeline, phase progress bars, and a share button. Customers cannot modify anything β€” it is a clean, read-only view designed to keep clients informed without overwhelming them with scheduling details.

πŸ’‘ Tip

Subcontractors can only see tasks assigned to them by default. They can toggle to see the full Gantt if you allow it. This is useful when a sub needs to coordinate timing with other trades.

πŸ“ Note

Invite links expire after 7 days. If someone misses the window, you can resend the invite from the team panel. The old link will no longer work and a fresh one will be generated.
